Privacy Policy

Our Commitment

We comply with the Data Protection Act 2018 and UK GDPR. We only collect and process personal data necessary to facilitate communications, casting and engagement between artists and employers. We do not sell personal data.

What data we process

Stage name, legal name, headshots, performance footage (Spotlight), bank details, postal and email address, NI number, VAT number (where relevant), passport details, date of birth, measurements, working preferences, dietary requirements and relevant medical/allergy information, and copies of documents when requested by production companies.

Lawful basis for processing

We process data on these bases as applicable: contract performance (bookings, payments), legal obligations (tax, right-to-work), legitimate interests (promoting artists to casting where not overridden by your rights), and consent (marketing, use of images, WhatsApp group). Special category data (health/allergies) is processed only with your explicit consent or where necessary for performing a contract or legal obligation.

How we collect data

Directly from you when you join, and in some cases imported from Spotlight.

Where data is held and processors

Primary systems: Tagmin (agency software) and Spotlight. Additional data stored on our password-protected drives and approved cloud/email providers. We have data processing agreements with our processors. Some processors may transfer data outside the UK; where this occurs we use adequacy decisions or appropriate safeguards (e.g. standard contractual clauses).

How we use your data

To promote and book work, share stage name, images and credits with casting professionals, and, where bookings occur, to provide production companies with required legal/contractual details (e.g. legal name, address, NI, passport). We do not share bank details with production companies; fees are invoiced to a client-holding account held by Prolific Talent Management Ltd and paid to you within ten working days of receipt. Images are used for promotion only with your consent.

WhatsApp group

An optional group is run for client communications. Joining is voluntary; by joining you consent to share your phone number with other group members and to WhatsApp’s terms and international processing. You may leave at any time.

Retention periods

  • Contract, payroll and tax records: retained for up to 6 years (HMRC requirement).

  • Client bank details and sensitive data: deleted following final payment or within a reasonable period after representation ends unless required to retain.

  • Images and Spotlight data: removed on leaving unless you have given consent for continued use; otherwise deleted within six months.

  • Email addresses: retained for up to 10 years only where we can demonstrate a legitimate interest; you may opt out at any time. We will delete other personal data promptly when no longer necessary. Specific retention periods will be applied and justified.

Security

​We apply appropriate technical and organisational measures (access controls, password protection, staff training and encryption where appropriate) to protect personal data.

Cookies and marketing

Your rights

​​You have the right to access your personal data, request rectification, erasure, restriction, object to processing (including marketing/legitimate interests), request portability, and withdraw consent at any time.
